Connected systems can reduce repeated data entry and help teams follow up consistently, but the workflow needs to be understood before it is automated.
Map the handover
Document what happens when a new enquiry arrives. Identify the information needed by sales, delivery and support. Agree which system owns each record and how duplicate or incomplete information should be handled.
Define the minimum useful integration
A first integration might send a validated website enquiry to a CRM and assign an owner. Start with a narrow process that has a clear benefit. Add more steps only after the initial flow is reliable.
Plan for failures
Connections can fail or receive unexpected data. Include validation, access controls and a visible way to review failed operations. Decide when an operation can be retried safely and when a person needs to intervene.
Keep ownership clear
Someone should own the workflow after launch. Maintain documentation, review permissions and check whether changes to the source systems affect the integration. Automation needs ongoing attention to remain useful.
